GPF school Excel: import, check and print slips
A practical workflow for the SchoolIDCards GPF slip tool, with common import and printing checks.
Start with one employee
- Choose the district, school/office and April–March financial year.
- Enter an employee name, serial/employee key, PF account and designation. Use the opening balance as on 1 April from the reconciled record.
- Enter the actual monthly deductions, other deposits, instalments and withdrawals in their respective months. If the deduction is the same every month, use Fill all 12 months, then adjust exceptions.
- Set each applicable annual interest rate using your office's verified orders. Changing a month's rate carries it forward to later months; check the whole April–March row after editing.
- Press Refresh preview. Read the employee name, year, account and closing totals before printing.
Prepare the school workbook
Download Excel Format from the tool rather than rebuilding its headings. Keep the sheet names and headers intact. Save the file as .xlsx.
| Sheet | What to enter | Check before upload |
|---|---|---|
| School Data | C1: district; C2: school name; G1: financial year. One employee per row. | Keep PF accounts as text so leading zeros survive. Each employee needs a unique identifying key. |
| Monthly Details | Use the matching School Data SR or PF ACCOUNT as Employee Key. Add month-specific deposits and withdrawals. | A different spelling or missing key can stop entries matching the employee. A blank monthly deduction keeps the main-sheet value. |
| Rates | April's rate, then a new rate only when it changes. | Check that later months carry the intended rate; do not confuse an annual rate with a monthly amount. |
Fictional matching example
Suppose the School Data row uses serial 1 for “Sample Employee”. A Monthly Details row for that employee must use the same key 1 (or the supported matching PF account). A row keyed 11 describes a different employee. This example demonstrates matching, not a real account or an official rate.
Review the calculated statement
The tool's notes describe its monthly balance, interest and rounding method. Compare that method with the ledger and orders applicable to the account. Select the same rounding option when comparing a saved workbook to an online slip. The calculator is a preparation aid; an office must confirm interest eligibility, rates and the accepted closing balance.
Common problems
- Preview empty: complete required school and employee fields and read the validation message. Try financial sample uses fictional data to explore the workflow.
- Wrong year or month headings: check the workbook year in G1 and the year selected online. April–December and January–March span two calendar years.
- Unexpected monthly figure: inspect Monthly Details overrides, withdrawals and rate carry-forward before changing the opening balance.
- Employee missing or duplicated: check identifiers and duplicate rows. Upload replaces the current employee list; save all inputs first.
- Slip clipped: choose A4 landscape and inspect the browser print preview. For all employees, verify that each slip starts on its own page.
Save the work
Use Save all inputs before closing the page. Store that file with the original workbook in the school's controlled folder. A printed PDF is an output, not the editable input backup. Do not use screenshots containing account numbers when asking publicly for help.
